The Role

The Maintenance Coordinator is a key member of Doorstead's Maintenance Operations Team, delivering a world-class servicing experience for tenants and owners. You will own the end-to-end lifecycle of maintenance requests, from intake through triage, approval, scheduling, completion, and quality verification, including work orders, routine maintenance, property-ready repairs, and transfer property repairs. We're looking for someone with a customer-first mentality, a structured approach to problem solving, and excellent communication skills.

Responsibilities

  • Own assigned work orders from intake to close-out, following established workflows and documentation standards.
  • Meet CSAT targets and SLA commitments across all tenant and owner communications.
  • Manage and reduce a backlog of escalated maintenance issues through daily prioritization.
  • Schedule and coordinate service appointments between tenants and vendors.
  • Conduct consistent follow-ups to ensure repairs are completed to a high standard.
  • Maintain accurate, timely records in our systems for every request and communication.
  • Collaborate across teams to resolve escalations.

Requirements

  • Prior experience as a virtual assistant or remote worker.
  • Experience delivering excellent customer service in challenging or ambiguous situations.
  • Strong written and verbal English communication skills.
  • Process-oriented, with strong attention to detail and documentation.
  • Decisive and proactive, comfortable making sound decisions and moving work forward.
  • Empathetic, adaptable, and able to multitask across competing priorities.
  • Reliable internet connection.
  • Flexible schedule.

Nice to Have

  • Experience with property management, maintenance coordination, or work order software.
  • Familiarity with SLAs, CSAT, or ticketing systems.
